A company has advertised a job and provides an email address as a mailbox.

At first glance, this is ideal for the applicant.

No paper, no online portal to work through - quickly and easily.

But here too there are pitfalls.

For example, in the case of an info @ or career @ address, it is not clear in whose hands the documents will end up.

The managing director of the Munich-based personnel service provider Avantgarde Experts, Philipp Riedel, therefore advises job seekers to inquire beforehand who is the direct contact person.

That provides plus points and creates clarity.

"The applicant can clarify some questions directly when he calls the reference person," says Riedel.

For example, whether the position fits, there have already been discussions and whether an application is worthwhile.

That could save work on both sides.

Riedel also strongly advises you to create a reputable email address.

Lilly89@hotmail.de for example is not suitable.

He recommends an address made up of firstname.lastname@xy.

Then it goes to the actual email.

“The most important thing is the subject,” says career coach Walter Feichtner.

So that the HR manager can assign the application quickly, the position and - if known - the job code should be specified there.

Riedel also recommends using a bold slogan such as: "My career start on October 1st - your new colleague".

That is individual and catches the eye.

Keep the text of an email application short and sweet

Both experts strongly recommend not to copy the text of the cover letter into the e-mail.

Because: E-mail programs did not always display the layout as it was received by the other party.

The mail text is to be kept short and concise.

"It should whet your appetite to look at the documents," says recruiting expert Riedel.

For example, it could read: “Dear Ms. XY, I am applying for the position as Z (reference number).

Please refer to my attached documents to find out why I am ideally suited for the position.

I am actively striving to change jobs on October 1st and look forward to your feedback.

With best regards, Max Mustermann. "

The experts recommend sending a cover letter, résumé and a few references that are relevant to the job in PDF format.

Word and JPEG files are undesirable.

Not only are they more susceptible to Trojans, they are also writable and their layout can change on a third-party PC.

Certificates should - starting with the most recent - be merged with appropriate programs, according to career coach Feichtner.

Cover letter and résumé may remain individual documents.

The certificates should include the last three job references, further education qualifications and the highest educational qualification.

A project overview, a performance record or work samples are not a must, but could be an eye-catcher, according to the career coach.

It is important, however, that the entire document does not contain more than 15 pages.

When the email is ready, all documents have been checked and the attachments are no larger than five megabytes, the application can be sent.

Feichtner warns, however, of read confirmations or priorities.

"This puts the other person under pressure."

If applicants do not receive any feedback, they are obliged to follow up.

After two weeks, the job candidate can send a reminder email by forwarding the original email.

"Dear Mr. Meyer, I wanted to get in touch with you again and ask whether my mail from September 1st has arrived.

I look forward to feedback and a meeting, ”would be a suitable formulation here, for example.
